Transfer a property to another company

A drawing of the web portal's Property Transfer page: the left menu, the Property Transfer heading, a search box with a blue button at the top, and a list of pending property transfers below, each with a building icon, device icons and a colored status dot.

Ownership of and access to NextCentury equipment data begin with the company under which the property listing is first created. If equipment and data ownership need to be transferred to a new company, the Property Transfer Request tool in the Web Portal can be used to complete the transfer process.

Note

While the property transfer process is designed to make it easy to transfer properties and equipment data between companies, it does not replace proper communication between the representatives of the current and future owners. You should always coordinate with existing ownership before submitting a property transfer request.

Submitting a Property Transfer Request

Open the Property Transfer Request tool

Sign in to the Web Portal and open the Properties menu in the Home tab. Click the "+ Add Property" dropdown, then select "Request a Transfer".

Web portal Properties page, opened from Properties in the Home menu on the left. The + Add Property dropdown at the top left is open, with Add Property, Upload Property File and Request a Transfer. Request a Transfer, the last item, is outlined in red, with a red arrow pointing to it.

You can also open the tool from the Tools menu in the bottom left corner of the screen.

Web portal, Properties page. In the lower-left corner of the left menu, Tools is open, showing Transfer and Warranty. Transfer is outlined in red, with a red arrow pointing to it.

Enter the Gateway serial number

In the New Transfer section, enter the serial number of the Gateway that corresponds to the property you would like to request. If you do not know the Gateway serial number, you can also enter the Property ID.

Web portal Property Transfer page. Under New Transfer, the search box in the middle of the page is outlined in red, with a Gateway serial number typed in (DA200123 in this example), the blue Search button at its right end and a Don't have the Gateway Serial Number? link under it. Pending Transfers below is empty.

If you don't have the Gateway serial number or Property ID, you should contact the current property owner.

Review the property health snapshot

Once you've entered the Gateway serial number, you'll have the opportunity to review a snapshot of the property health. The snapshot includes information about the property and its devices.

Web portal Property Health window over the Property Transfer page, for the property the serial number belongs to (Vance Refrigeration Townhomes in this example). It shows the property's name and city, 23 units, 23 Transceivers and 3 Repeaters, the property details (name, address, billing company and management company), and two charts: Equipment, 23 online, and Repeaters, 2 online and 1 offline. The blue Transfer button is at the bottom.

Review the property health snapshot to confirm that you've requested the correct property. You can also confirm that the number and status of the devices on the property are what you expect them to be.

If the property is not the correct one, you should verify that you’ve entered the Gateway Serial Number or Property ID Number correctly. If you are still having issues, you may need to confirm the property details with a current property representative or contact us.

Once you've reviewed the property health snapshot, click the "Transfer" button.

Verify the property details

On the Transfer Details page, you'll be able to verify and update certain details about the property and the transfer itself, such as the property name, management company, and transfer date.

Web portal Transfer Details window, the first of four steps. It has fields for Name, Billing Company, Address, Management Company, Transfer Date (with a calendar button) and the previous billing company access duration (1 Week in this example). The right arrow to the next step is at the bottom right, next to the four step dots.

You can also grant access to the previous billing company for a duration of your choosing.

Web portal Transfer Details window. The previous billing company access duration field at the lower right is outlined in red, with its menu open: 1 Week is selected, and the other choices are 1 Month, 3 Months, 6 Months and No Expiration.

Once you've updated any necessary details, click the right arrow to move to the next page.

Enable Direct Billing (if needed)

If Direct Billing is required, you can turn it on within the Direct Billing page. You’ll need to provide the contact information for the property representative who will handle the payments. Click the right arrow to continue.

Verify service subscriptions

On the Service Details page, you’ll be able to see the services that are currently enabled on the property, including their cost. You can enable or disable any of the services on this screen.

Cellular: on now, off under New, $0.00. Manual Reads: off, $0.00. Leak Monitoring: off now, on under New, $25.00. My Read App: off, $0.00. The text at the top says all paid services will be off by default.

Be aware that disabling services, such as cellular, may have a negative effect on property health or expected monitoring/alerts. Click the right arrow to continue.

Enter authorized representative information

On the Authorized Person Details page, enter the information for the company representative who is authorized to approve this transfer to you. Click the “Review Transfer” button.

Web portal Authorized Person Details window, for the person who will approve the transfer. Under Property Authorized Agent are Name, Email, Phone and Role, filled in with an example person whose role is Property Owner. The blue Review Transfer button is at the bottom, with a left arrow to go back.

Review transfer request details

On the Review Property Transfer Page, verify the details of the request. If there are any items you need to edit, you can click the left arrow to get to the relevant page and make the appropriate adjustments.

It has Property Information (property name, address, Gateway serial number and Gateway status), Property Health (the Equipment and Repeaters charts), Transfer Information (new billing company, new management company, date of transfer and previous company access duration), Service Information (each service with its switch and price), and the Property Authorized Agent, followed by signature and date lines. Edit is at the top right, and Request Signature at the bottom.

Submit the request

Once you’re ready to submit the request, press the “Request Signature” button at the bottom of the Review Form screen.

The authorized representative for the property will receive a request via email to provide a digital signature to approve the request. Once the request is approved, the property will be transferred to you following a brief processing period.

You can track the status of any property transfer requests within the Property Transfer Request dashboard.

Web portal Property Transfer page. Under Pending Transfers, a key shows the order a transfer goes through: Waiting on Signature (yellow), then Processing (green), then Complete (blue). Below are three transfers, each with its property name and city, unit, Transceiver and Repeater counts, and its status at the right: one Processing, one Waiting on Signature and one Complete.

Temporary Access

There are situations where a permanent ownership transfer is not appropriate. In many of these cases, temporary or secondary access is a better solution.

For temporary or secondary access rights, a Temporary Access Request form can be submitted. This allows for individual users to have secondary access in addition to the original organization. If all users for an organization require access, Group Access can be requested on the form instead of entering user emails one by one.

Forms can be submitted to Support via email at support@nextcenturymeters.com. A Support agent will review and process the request.

Due to updated regulations and product improvements, Next Meters reserves the right to change the product specifications without notice.
